Structured Process/Analysis
The structured process that we decided to use is the sales process. Which consists of the customer placing the reservation for a car all the way until they return the car. Enterprises use MIS in many different ways to support their structured process. They use hardware such as computers, telephones, tablets, to help assist the customers. They also have their own software known as ARMS which they use to keep track of customers information and they also have their own software known as ECARS which is where they keep customers info about their cars. The people that they use in the process are 2 workers, 1 manager, and a car detailer to clean the cars.
After observing the sales process within the Metuchen branch we noticed that the sales procedures consist of two steps, the first one being when the customer picks up the car, and the second one being when the customer returns the car. In total both steps contain about 15 parts which make up the sales Procedures. The first part of the sales process contains these steps which are listed below:
The first step consist of the customer placing a reservation for the car through their website by choosing the type of cars based on size
Then the employee has to contact the customers to see if they qualify to rent a car since enterprise has strict rules to rent a car
Then the customers walks in and the employee makes sure that the customers qualifies by checking their license and mankind sure it's valid by scanning it on a tablet and entering their information into the tablet or the computer
After the employee walks out and locate the car for the customer
Then the employee checks for the gas and mileage of the car to know when the car is needed for maintenance
Employee goes back inside and have the customers sign the agreements of the price and the rules and regulations of renting the car
Then the employee takes the payment and the security deposit
After both the customer and employee go outside to do a walkaround the car to evaluate any damage on the vehicle
Hand over the keys to the vehicle and inform them about the gas matching policy which is that they have to return the car with the same exact gas level that it is currently at
As explained above these are the first step of the sales Procedures in Enterprise holdings to rent a car. This process has been installed with the company for many years and they continue to improve it as the years go by.They do this by adding more Information systems which helps the efficiency and effectiveness of the process. They use a lot of Information systems such as a phone, a computer, tablet, their database, POS system, and they continue to add more.
The second step of the sales Procedure is when the customer returns the car. This step is done to ensure that the car returns in good condition and they can refund the customer their security deposit. The steps of the 2nd part are listed below:
Customer returns with car and keys and employee grabs the tablet and keys to go check out the car
Walk around the car and ensure there is no damage done to the vehicle
Check that the customer matches the same gas level it was given at and record the mileage the car is return at making sure that no maintenance is required
Go inside the office and confirm the price with the customer one last time and refund them their deposit
Email them a copy of their receipt and thank them for their business
Politely ask them to take our survey and leave us a 5 star
As you can see, the steps listed above are the final part of the sales Procedures of Enterprise Holdings. This part is part of the sales process as well because this is when the sales process truly ends. Some people might think that it ends when the customer leaves with the car. However, due to the fact that they have to get their money back and bring the car back it prolongs the sales process of the company.
